Login to GroupWise

Click Start > Programs > GroupWise 5

Enter your User ID and Password and click OK. The GroupWise window will appear.

Tool buttons
Address book, view properties of item or folder, print a calendar, find an item

Item Send buttons
Create new mail message, schedule new appointment, create new task, create new document. Clicking the down arrow next to each icon allows you to select different types of mail messages, appointments, and tasks.

View Options
View details, view discussions threads, view as calendar
QuickViewer displays a preview pane at the bottom of the GroupWise window. You can preview email messages, tasks, and other objects quickly without opening them.

Calendar

Open the GroupWise calendar. Clicking the down arrow allows the user to select the desired calendar view. The * indicates the default view; note that there is a default view for each new item (mail, meetings, tasks). Default views can be changed in Tools > Options > Environment > View.

Right click any of the mail objects in the left pane and select Properties. Click the display tag to adjust what type of items display in a folder.

Sending an E-mail

Click the Create New Mail icon

Complete the mail message and click Send.

Read an Email

Double click the email message that you want to read.

Alternatively, you can right click a mail message or other object to open it and to perform other mail tasks.

Double click the attachment to open it. Alternatively, right click the attachment to open it with a specific application, print it, or save it to your hard drive.


Scheduling Appointments

Click the down arrow to select the type of calendar item you want to create. Meeting will allow you to schedule an appointment with another GroupWise user or schedule a meeting with a group of users. Personal Appointment is for scheduling a appointment in your own personal calendar.

 

Creating Tasks

Selecting Task will allow you to create a task for yourself and someone else; this is great for group projects. Personal tasks will be placed in your calendar/task list only.


Basic Calendar

Click the calendar icon to open your personal calendar.

Click Calendar from the display list to display the monthly calendar quickly.


Archiving

Mail items in GroupWise are deleted after 30 days; the only exception to this rule calendar items. If you want to save items for longer than 30 days you need to archive them. Right click the item that you want to archive and select Archive.

To access items in the archive, click File > Open Archive. The archive looks exactly like your regular email box. Notice that the GroupWise title bar displays Archive.
To return to regular mail, click File and uncheck Open Archive.

Sent Items and Creating Folders

The Sent Items folder displays all items (includings appointments, tasks, reminder notes, phone messages). You may want to create a duplicate sent items folder so that you can display only your sent mail messages. This technique can also be used to recreate folders that may have been accidently deleted.

To create a folder, right click your name in the left pane of GroupWise and select New Folder.

Select Find results folder and Predefined find results folder. Select Sent Items from the list and click Next.


Type the folder name (If you are creating a Sent Items folder for just mail messages you may want to name the folder "Mail Sent Items")

You can use the Up and Down buttons to reposition the folder on the list. Click Finish when done.
If you want to change the folder properties so that they only display mail items, right click the folder and select Properties.

Saving GroupWise Messages

As mentioned, the system will automatically delete messages older than 30 days. You may want to save some of your messages for reading later.

Right click the message and select Save As.

Associating Groupwise Messages with Word

You may want to open your saved messages in Word instead of GroupWise. Locate one of your saved messages (mlm extension) in Windows Explorer or My Computer and right click the file and select Open With....

From the Open With dialog box select Microsoft Word for Windows. Make sure to select Always use the selected program to open this kind of file and click OK. Now when you double click a file with an MLM extension it will automatically open in Word.
